Our quick guide to what's involved

We would love to welcome you to our club as a volunteer - exciting times lie ahead as our teaching, coaching and management team continue to develop and club alongside our wonderful facility at Winchester Sports and Leisure Park.

These role descriptions provide an idea of what is involved but if you would like to discuss anything in further detail, please get in touch using the contact us page, we would be delighted to talk to you.

Balcony

30 minutes before start of warmup

  • Spectator gallery entry. Tickets will have been pre-purchased online on "Order Whizz"
  • There will be a list of orders for each day.
  • Give people wrist bands for the relevant sessions and tick them off.
  • People can buy tickets on the day via the OrderWhizz website if there is capacity left.

  • Working with coaches on poolside...
  • Ensuring swimmers sent up for heats etc

Swimmer marshals

20 minutes before start of racing

  • Based along glass barrier, near to showers
  • Working as a team to organise swimmers into heat and lane order and sending them up to race
  • A busy role but sociable!

Refreshments poolside

Start of racing

  • Drinks / sweets will be in first aid room on poolside.
  • Take round jugs of squash / water for coaches, plus the sweets!
  • Give to coaches, team managers, volunteers and officials. 
  • There will also be some small bottles of water - coaches like these!

Managing catering - preparation

Weeks and days leading up to meet

  • This roles concerns supply the food and drink for the officials, coaches/team managers, who have bought a poolside pass, as well as our own WCSC volunteers. Additionally, to supply the sweats and drinks for the poolside during the meet.
  • Three to two weeks prior to the meet, discuss with open meets team, numbers, officials (typically 30), number of poolside passes purchased and then add additional 20 WCSC volunteers.
  • Discuss with open meets team, catering requirements.  Number of meals per day and when they are required.
  • Two weeks prior to the meet order the sandwiches and cakes and construct shopping lists.
  • Ideally catering team would have catering outlet passes, currently using Costco and Bookers and/or Yellow Welly Cafe.
  • Help deliver all the food and equipment to the premises.

Managing catering - on meet days

45 minutes prior to each catering period before warm-up

  • For a typical two-day meet, we supply three meals for both days.
  • Where we provide breakfast, consisting of pastries, fruit, tea and coffee, preparation starts as soon as the centre opens, typically at 7am so the urn has sufficient hot water and everything is laid out so that breakfast is ready for pass holders before the start of the warm-up at 8am. You will be advised of specific timings for each specific day and meet.
  • Lunch for an average 30 officials, 50 pass holders and 20 volunteers. Often at 11 - 1130.
  • Afternoon Tea same numbers as lunch at around 16 - 1630.
  • For lunch and afternoon team sessions, ideally you would be required at least 45 minutes prior to the break to help, prepare food and lay it out, top on urn, restock and keep the area clean and tidy.
  • We typically allocate three sandwiches per person, and crisps savoury extras, fruit, cakes and bars.
  • Provide one case of water per session.
  • Cater for special dietary needs gluten free, veg, vegan lactose intolerant (nut allergy very difficult).
  • Provide sweets, cups and squash for the poolside refreshments.
  • Your general help and ideas are very welcome.

30 minutes before end of session

  • Helping in studio in support of the catering team
  • Keeping team working in control room overlooking pool replinished 
  • Getting meals ready for officials and coached

Sport hall marshals

Start of warmup

  • Main role is just to keep an eye on behaviour. You don't have to be there the whole time, but do need to cast an eye regularly! 
  • Ensure swimmers are using rubbish bins, not doing anything they shouldn't, and let them know where racing is up to

Bag marshals

30 minutes before start of warmup

  • For big meets we don't allow ANY swimmers to bring big bags onto poolside. They take up space and block the AC vents.
  • You need to base yourself at the entrance to the pool by the showers, and send all those away trying bring their big bags!
  • All swimmers / coaches will have been warned this will happen ahead of the meet.

Medals

Start of racing

  • Based at desk on poolside. Handing out medals once race results confirmed.

Floaters

Depends on role - confirmed in advance

  • May not be needed - but thank you for being a spare and possibly helping with the various roles!
