Winchester City Penguins swimming lessons terms and conditions

ONE

New enrolments

New members:
  • New enquiries should go through the Penguins lessons stage finder and complete the associated membership form prior to formalising a booking.
  • Temporary reservations may be held for a short, agreed period.
  • A place is only confirmed once the membership form, medical form, and a direct debit has been set up with GoCardless.
Existing members:
  • Current Learn to Swim members will receive priority on alternative spaces, timings and class groupings.
  • Regroupings will mostly take place in line with the conclusion of an academic term, while exceptions may be made at the discretion of the Head of Lessons.
  • Requests to cancel your membership should be made via the Contact Form (select All Lessons Enquiries) or directly via email to Lessons Administrator as early as possible.

TWO

Requesting changes to bookings

  • To request a change to your lesson time or day (for regular or holiday course bookings), please use our Contact Form (select All Lessons Enquiries) or email the Lessons Administrator. We’ll do our best to accommodate, but changes depend on availability and cannot be guaranteed.
  • Lessons and memberships are non-transferable and cannot be exchanged for other products or services.

THREE

Payment terms and policy

Mandatory direct-debit setup:
  • All participants must have a GoCardless Direct Debit set up as a condition of membership.
  • Monthly payments are taken automatically and cover one-twelfth of the 48-week annual programme.
  • An annual fee of £23 for membership is due on enrolment, this renews every January. A separate invoice will be sent for payment. Where Swim England offers discounts for new members joining after 1st October in any year, this will be passed on to the member.
If a Direct Debit payment fails or is cancelled:
  • A five-day grace period will be given to allow for payment. In the event that payment is not made in this period, the swimmer will be removed from the class register.
  • The swimmer will not be permitted to attend lessons until the account is reinstated and all outstanding payments are cleared.
  • Re-enrolment will be subject to space availability and may require payment of any outstanding fees.
Alternative payment options:
  • If Direct Debit set-up is not possible, please use our Contact Form and select Finance Enquiries to arrange to pay termly in advance by BACS

FOUR

Cancellation policy

When you cancel:
  • The lessons programme is run over a 48 week period with monthly fees taken from the first of the previous month. As the assessments are carried out at the end of each term, we ask that requests for cancelled memberships are aligned with the end of term.
  • Cancellations for the end of autumn term should be made by 20 November.
  • Cancellations for the end of spring term should be made by 20 February.
  • Cancellations for the end of summer term should be made by 20 June.
  • Cancellations for the end of the summer holidays should be made by 20 July.
  • Once payment has been made on the first of any month, no refunds will be given. Exceptions are at the discretion of WCPSC Management.
  • Requests must be submitted via the Contact Form (select Lessons).
When we cancel:
  • No refunds or credits are issued for cancellations outside of our control (e.g., pool closures, bad weather, fire alarms).
  • Affected members will be notified by email, and possibly by text in urgent cases.

FIVE

Attendance policy

From September 2025, our lessons programme will operate regular lessons for 48 weeks of the year, including school August Summer Holidays, and breaks for two weeks during easter and two weeks during Christmas holidays.

To support families and maintain fairness:

Holiday clause:
  • Each swimmer may take up to 2 weeks of holiday per year.
  • Lessons can be rescheduled (subject to availability) with a minimum of 14 days’ notice, via email to the Lessons Administrator.
Sickness clause:
  • Up to 4 consecutive weeks of lesson credit per calendar year may be granted for absences due to illness.
  • A valid medical certificate must be submitted within 7 days of the missed session. Approved credits will be reflected in future payments.
Monday swimmers - Bank Holiday provision:
  • Swimmers who attend lessons on Mondays will be offered a 1-hour skills group class during the Easter and Christmas holidays in place of any sessions lost due to additional bank holidays. Monday swimmers unable to attend the holiday skills sessions may request a catch-up session via the Lessons Administrator. *Subject to availability

SIX

Missed sessions and refunds

Refunds or credits will only be considered under the following circumstances:

  • Major illness
  • Hospitalisation
  • Relocation
  • Medical-related credits require a valid medical certificate.
  • No credits or refunds are issued for missed sessions due to holidays, exams, or scheduling conflicts—including during half-term or school holidays.
  • Missed sessions cannot be transferred or made up.
  • A £20 administration fee will be deducted from any approved refund or credit.

SEVEN

Hygiene and safety

To help keep our swimming environment clean and safe:

  • Children who are not toilet trained must wear tight-fitting waterproof pants and approved swim nappies.
  • All swimmers from Beginner and above must wear a swim cap and goggles.
  • Children should not attend lessons if unwell or recovering from a stomach bug.
  • All spectators must observe and comply with the pool rules set out by the specific facility, in relation to changing room usage, mobile phone usage, seating, pick-up and drop-off policies, and parking. Any person who has any questions regarding pool rules should speak with a member of the facility’s team at the pool reception desk.
Before each lesson, swimmers should:
  • Use the toilet
  • Blow their nose
  • Tie back long hair
  • Take a quick shower
  • Bring any necessary medication (e.g., asthma inhalers)

EIGHT

Teachers and Timetable Changes

We always aim to provide a consistent and high-quality experience. However, WCPSC reserves the right to:

  • Change instructors or class times
  • Cancel or adjust sessions when necessary
Due to the size and scale of our programme, it is not possible to communicate every teacher change.

NINE

Mobile devices

Recording of lessons material or any pool users is strictly prohibited without written permission from Winchester City Swimming Club

  • Mobile device usage on poolside such as texting, voice calls and social media may occur at the discretion of the particular facility management.
  • Facility management reserves the right to instruct any pool spectator to switch off their mobile device if they believe it is being used inappropriately, and may remove the spectator from poolside should they not comply.
  • Full information on mobile device rules may be found at the reception desk of the specific facility. Winchester City Swimming Club follows Swim England Wavepower policy. Any club member who is found to be in breach of Wavepower policy may be removed from poolside.
